RepFuel ("we", "our", "us") respects your privacy. This Privacy Policy explains how we collect, use, share, and protect your information when you use our sales coaching and analysis platform, including our website and mobile application (collectively, the "Service").

2. Information We Collect

We collect the following types of information when you use our Service:

  • Account Information: Your email address and password (collected during registration), and organization/team details you provide.
  • Audio Recordings: Sales call recordings that you create using the in-app microphone feature or upload as audio files (MP3, WAV, M4A formats). These recordings may contain voices, names, and other personal information of call participants.
  • AI-Generated Content: Transcripts, AI analysis reports, coaching scores, performance ratings, and coaching recommendations generated by processing your audio recordings.
  • Usage Data: Information about how you interact with the Service, including feature usage and AI processing token consumption.

3. How We Collect Your Information

  • Directly from you: When you create an account, record or upload audio files, or provide organization details.
  • From your device: When you use the mobile app's microphone to record calls, the audio is captured and stored locally on your device before being synced to our servers.
  • From AI processing: When you initiate AI analysis, transcripts and reports are generated from your audio data.

4. How We Use Your Information

We use your information for the following purposes:

  • To provide, operate, and maintain the Service, including user authentication and data storage.
  • To generate AI-powered transcripts and sales coaching analysis from your audio recordings when you request it.
  • To display performance scores, coaching recommendations, and team analytics within the Service.
  • To enable team collaboration features within your organization.
  • To ensure compliance with our Terms of Use.

5. Third-Party AI Data Sharing

Important: AI Processing Disclosure

When you choose to analyze a recording, your audio data is sent to a third-party AI service for processing. This only happens when you explicitly request analysis — recordings are never sent automatically.

What data is sent

When you initiate AI analysis of a recording, the following data is sent to the third-party AI provider:

  • The audio recording file (which may contain voices, names, addresses, and other personal information spoken during the call).
  • A system prompt describing the analysis methodology (this does not contain any of your personal data).

Who the data is sent to

Audio recordings are sent to Google LLC via the Google Gemini API (Generative AI service) for transcription and analysis. Google processes the audio to generate a text transcript and a structured sales coaching report.

How the data is used by the AI provider

  • Your audio data is sent to Google Gemini solely for the purpose of generating a transcript and analysis report for your specific request.
  • Google processes the data according to the Google Gemini API Terms of Service, which state that data submitted via the API is not used to train Google's general AI models.
  • We do not send your account information (email, organization details) to the AI provider — only the audio content and analysis instructions.

User consent

Before any audio data is sent to the AI provider, you are presented with a clear consent prompt within the app explaining that your recording will be processed by a third-party AI service (Google Gemini). Analysis only proceeds after you explicitly confirm your consent. You may choose not to use the AI analysis feature, and your recordings will remain stored without being shared with any third party.

6. Other Data Sharing & Third Parties

We do not sell your personal data. Beyond the AI processing described above, we use the following service providers to operate the Service:

  • Supabase Inc. — Cloud database hosting, user authentication, and file storage. Your account data and audio files are stored on Supabase infrastructure.

We ensure that all third-party service providers we share data with provide the same or equal level of data protection as outlined in this policy. We do not share your data with any other third parties for marketing, advertising, or any purpose unrelated to providing the Service.

7. Data Retention & Deletion

We retain your recordings and data for as long as your account is active or as needed to provide the Service. You may delete individual recordings at any time via the dashboard or mobile app — this permanently removes the recording, its transcript, and any associated analysis. Upon account termination, all your data will be deleted in accordance with our retention policy.

8. Security

We implement industry-standard security measures to protect your data, including:

  • Encryption in transit (TLS/SSL) for all data transmitted between your device and our servers.
  • Encryption at rest for stored audio files and database records.
  • Row-level security policies ensuring users can only access their own data (or their team's data based on their role).
  • Secure authentication with session management and token refresh.

However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.

9. Your Rights

Depending on your location, you may have rights regarding your personal data, including:

  • Access: Request a copy of your personal data.
  • Correction: Request corrections to inaccurate data.
  • Deletion: Request deletion of your personal data.
  • Opt-out: Choose not to use AI analysis features, keeping your recordings private and unshared.
